Workspace Folders

Workspace Folders organize jobs, workstations and workflows into a tree you define: by product line, component, physics type, design phase, or any structure that fits your team. A workspace with hundreds of workloads stays navigable.

Folders organize workloads, not files. For the file browser inside a job, see browse your files.

Why use folders

  • Find work faster. Browse the structure to locate a job even when you cannot remember its name or which tags you used.
  • Mirror how your team works. Organize around programmes (Vehicle Platform 2026), components (Battery Thermal), or objectives (Weight Reduction Initiative).
  • Collaborate with clarity. Share whole folder structures, so everyone sees the same organization and contributes to the right place.
  • Share many workloads at once. Sharing is per job or per workstation everywhere else, one at a time. Putting them in a folder and sharing the folder is the only way to hand over a batch.

Any member can create folders in their own Home area, add workloads to folders, and share them. Creating folders in the shared Workspace area is restricted to administrators, so the team-wide structure stays deliberate.

The three areas

The folder tree has three top-level areas:

AreaWho can see it
HomeOnly you, unless you explicitly share a folder
Shared with meFolders colleagues have shared with you, with Viewer or Editor access
WorkspaceThe team-shared area. Every workspace member can see and contribute

Select any folder and the main panel shows four tabs, with a breadcrumb above them showing where you are in the tree:

TabWhat it shows
OverviewA preview of the folder's most recent workloads, up to 20, of every type
JobsOnly batch jobs, with the full list and its filters
WorkstationsOnly interactive workstations
WorkflowsOnly workflows

Overview is a preview, not the full list. It shows the 20 most recent workloads on a single unpaginated page with a fixed set of columns, and it deliberately has no search, no filters and no bulk actions. To search a folder, or to select several workloads and archive them, use the Jobs or Workstations tab.

Overview also carries the buttons for creating work in place: New Job, New Workstation, and New Workflow.

The folder tree can be resized and the left navigation collapsed, to give the main panel more width on a smaller screen.

The three areas, with a Workspace folder expanded to show its subfolders.

Create a folder

  1. In the folder tree, select where the folder should go: Home, Workspace (administrators only), or inside an existing folder.
  2. Click Add Folder.
  3. Enter a name.
  4. Click Create Folder.

Use descriptive, searchable names. CFD_V2026_Underhood is easier to find later than New Folder 3.

Search inside a folder is scoped to that folder

Searching from Home does not find workloads filed under Workspace, and vice versa. For a search across everything regardless of folder, use the full jobs list.

Add workloads to a folder

Create them in place. Open the target folder, select the Jobs or Workstations tab, and click Add Job or Add Workstation. The workload is created in that folder. This also applies when you duplicate an existing job, so a duplicate lands beside its original rather than loose in the workspace.

Move existing ones in. Drag one or more workloads from the main panel onto a destination folder in the tree. Use the checkboxes to select several at once.

Share a folder

With the entire workspace: drag the folder from Home into the Workspace area. Every workspace member immediately gains full access.

Share is an action on Home folders only

The Share folder action appears on folders in Home. A folder that already sits in the Workspace area does not have it, because everyone in the workspace can already see it. Those folders offer only rename and delete.

With specific people or groups:

  1. Hover over the folder and click the ... icon to open Folder actions.
  2. Click Share folder.
  3. In Add share, search for the users or groups you want to add. Everyone already added is listed under Users with access.
  4. Set each one's permission:
    • Viewer sees all contents but cannot create, modify, or delete anything.
    • Editor has full access to create, modify, and delete contents.
  5. Click Update.
The share dialog. Everyone already added appears under Users with access.

The folder appears in each recipient's Shared with me area, and each of them receives an email titled "Folder shared with you" with a link straight to it.

Anything a collaborator adds to a shared folder, a workload or a subfolder, appears for everyone with access to that folder, not only for the person who added it.

Permissions cascade, and you can only share what you control

A recipient gets the folder, all subfolders, and every job and workstation inside them, all the way down. There is no way to share a folder while withholding something inside it.

You can only share folders you own or have Editor access to.

Manage folders

Hover a folder in the tree and click the ... icon to open Folder actions.

Folder actions: share, rename, delete. Share appears only on folders in Home.

Move a folder. Drag it to a new location in the tree, then confirm. Moving is not available from Folder actions.

Rename a folder. Open Folder actions, click the pencil icon, enter the new name, and click Update.

Delete or archive a folder

Both operations use the trash icon in Folder actions. Which one runs depends on the folder's contents:

Folder contentsResult
EmptyThe folder is deleted
Any jobs, workstations or workflowsThe folder and its contents are archived

You do not need to empty a folder first, and there is no separate archive control.

Deleting an empty folder

Open Folder actions, click the trash icon, and confirm. The folder is removed.

Archiving a folder and its contents

When a folder holds workloads, the confirmation is titled Archive Folder and states how many jobs are affected. It offers the same file-handling options as archiving a single job:

OptionEffect
Move result files to trashOutput files go to trash, then are permanently deleted after your workspace's retention period
Unlink input filesDetaches input files, which are often the larger half
Permanently delete files from CFSRemoves the files from Cloud File System

By default the operation removes output files only, so input decks are retained unless you choose otherwise.

CFS files cannot be recovered

Cloud File System has no trash. Files deleted from CFS are gone permanently, including if you recover the jobs later. Download anything you need from CFS before archiving. See delete CFS data.

Archived workloads move into the Archived filter and can be recovered individually. See archive and delete jobs.

Show archived folders

An archived folder is hidden from the tree by default. The filter icon above the tree controls which folders appear:

Active is selected by default. Select Archived to bring archived folders back into the tree.

Active and Archived are independent, so you can show either on its own or both together:

SelectionTree shows
Active only (default)Folders you are working in
Archived onlyFolders that have been archived
BothEverything

Select Archived when you need to find a folder you archived earlier.

Limitations

  • Folders hold jobs, workstations and workflows only. Files and high-performance storage cannot be placed in a folder. For files, see browse your files.
  • A folder cannot be shared with Rescale Support. Support sharing is per job. If Support needs several jobs, share them individually. See Contact Support.
  • Editor access is broad. An Editor can delete the folder itself, not only reorganize its contents, including a folder someone else created. Give Viewer unless a person genuinely needs to change the structure. Finer-grained control is planned.
  • Duplicating someone else's shared job from inside their folder can fail with an Invalid folder ID error on submission. Duplicate it from the jobs list instead.

Common questions

Can two folders have the same name? Not inside the same parent. Names are case-insensitive there, so CFD_Analysis and cfd_analysis collide.

Can I move a folder from Workspace back to Home? Only if every workload inside it, and inside its subfolders, belongs to you. This stops team work being pulled out of the shared area by accident.

Can I move a folder somewhere that already has a folder of that name? No. Rename one of them first.

What happens to a folder's contents when I share it? The recipient gets the folder, all subfolders, and every job and workstation within them. Permissions cascade down the whole hierarchy.
